In order to fully benefit of the power of the CRESMED portal you only need to understand 4 key concepts before you can start using the system productively:
- Local roles Basics
- Section Basics
- Workspace Basics
- Publication Basics
Local roles Basics
Permission to access any or all content within the CRESMED portal is determined by the Local roles that have been assigned to, or inherited by, the person accessing the content.
CRESMED portal manager creates a site member and assign the local roles that member needs. These local roles can be changed by the site manager at any time, and a member can be granted extra local roles for specific areas or content within the site.
Both sections and workspaces have specific roles available within them. If a member or visitor tries to access any content to which they are not authorised, they will be asked for a user name and password that is authorised.
Section Basics
A section contains finished content that is available for viewing or download, to either the public or authorised site users. Most content must be created in a workspace, then published, before it becomes visible to section visitors.
Once your content is finished and ready for a wider audience it can be published so it is visible to anonymous site visitors (public) or restricted to some or all site members.
Various Sections of the site can be assigned to different groups of users, allowing the users of the private or shared workspaces to publish or share their documents so they are visible only to the appropriate site members or visitors.
A section may be visible to the public, or it may be restricted to certain users or groups after they log in.
Content in a section is:
- readable by members or visitors with the section reader role.
- approved by members with the section reviewer role.
- managed by members with the section manager role.
Workspace Basics
Workspaces are areas of the site dedicated to collaborative work, and are used for content creation and collaboration. Workspaces and their contents are not visible to the public, and have a restricted membership.
Within a workspace, all workspace members have many different types of documents and tools available for their use. The documents that can be created are designed and structured to allow both individuals and groups of members to work on private (or public) documents, files and collaborative tools.
Workspace members can work, communicate and share knowledge and expertise, from wherever in the world their office happens to be. CRESMED members have access to all communications, documents, forms and other support resources from any internet connection. Not only can CRESMED members access the workspace contents, they can update them whenever they need to.
Content created in a workspace may be published into a section. This allows authorised users, or the public, to view the content.
Content that remains in a workspace and is not*published* is:
- editable by the workspace members.
- viewable by the workspace readers.
- manageable by the workspace managers.
Personal workspaces
Each CRESMED member has a personal workspace in which they can create, publish, modify and organise their own documents and content. This space is strictly reserved for each member, and the documents which are created there are completely private.
In order to support team work and collaboration, it is normal for CRESMED members to create and share other workspaces within their own private workspace. This allows CRESMED members to control access to content created within and below their personal workspace.
Publication Basics
Publication is the process that content goes through to become visible in a section, and normally consists of a review process.
Different members can be assigned the section reviewer role in different sections. The section reviewer (or section manager) approves content for publication into a section.
